We understand the importance of privacy and data protection of all clients and users of the SwimWay website. Please read this policy so you are fully aware of how and why we are using your information, as well as your privacy rights and how the law protects you
Collected Information:
To enrol for classes, follow students’ progress and receive service and marketing emails and text messages, users must register and provide certain voluntary information about themselves. This information will be collected and stored during registration. We do not enter any customer information unless they have agreed to our privacy policies. We will take reasonable precautions to prevent the loss, misuse or alteration of your personal data. You are responsible for keeping any access password and user details confidential. We will never ask you for your password.
Financial Information:
For faster payment processing, SwimWay utilises the merchant service Fitronics Pay. This service securely stores all credit card information without reaching the SwimWay server.
Third Party Service Providers:
We work with service providers who have various levels of access to our customer database:
- Cap2 is the company that runs our CoursePro bookings system. We store all our customer information using this system to ensure optimal resource management, email and text message communications and scheduling
- Digital Arm is a company that runs and maintains the SwimWay website. They have access to customer information inputted using the contact forms on the site. They also have a unique login to the CoursePro bookings system
- Totality Services is a company that provides SwimWay with IT support services. They have access to our computer and network systems. They also provide security to ensure everything runs optimally and securely
- Mailchimp is a marketing automation platform and email and text message marketing service. We store basic contact email and mobile phone number information on this system to carry out email and text message marketing communications
- Google & Facebook advertising platforms are used in conjunction with our customer database for targeted marketing services only related to SwimWay and it's offerings
These companies are fully compliant with all GDPR legislation, data processing, privacy and data protection. For more information, please contact us (details in the "Contact" section below).
Third Party Websites:
SwimWay is not responsible for the content or the privacy policies of websites to which SwimWay may link. SwimWay uses reasonable precautions to keep the personal information disclosed to us by our users secure. We will only disclose such information after obtaining permission from the user.
Use Of Information:
SwimWay will not reveal to any third party a user’s personal information. However, there are some exceptions:
- Companies detailed in "Third Party Service Providers" above
- When we need to perform banking reconciliation
- If we are responding to subpoenas, court orders or other legal proceedings
- Should we sell or acquire another business, or are acquired by another business, in which case such information may be one of the business assets transferred
Third parties will not contact our users except through advertisements within the SwimWay newsletters themselves.
Cookies:
Our website is created using a WordPress platform which uses “cookies”. Cookies store small amounts of information on your computer or device. This allows certain information from your web browser to be collected. For more information about cookies, including how to see what cookies have been set and how to manage, block and delete them, see www.allaboutcookies.org. You may also be able to configure your browser not to accept cookies. Although please note this may affect your ability to use some of the services we provide.
Unsubscribing:
Registering with SwimWay will add you to the email and text message database. This will provide service and marketing emails and text messages. Should you no longer wish to receive this information you can unsubscribe from our marketing communications using any of the following methods, however service emails and text messages will continue to be sent to provide information on services you have purchased with SwimWay.
- Click here to email us using the address we have registered for you
- Click the unsubscribe option at the bottom of our emails. Alternatively, click on "update your preferences" should you not wish to be fully unsubscribed
- Respond to any email with “UNSUBSCRIBE" should you not be able to find a link to do so
- Reply to any text message with "STOP"
Note that unsubscribing can take up to 28 days to process. Clients currently booked with us who choose to unsubscribe may be removed from important updates about their bookings.
Policy Amendments:
We may update the SwimWay privacy policy on our website. It is advisable for you to check this page occasionally to ensure you are happy with any changes. We may also notify you of changes to our privacy policy by email.
Your Rights:
You may instruct us to provide you with any personal data we hold about you. Provision of such data will be subject to:
- The supply of appropriate evidence of your identity (for this purpose, we will usually accept a photocopy of your passport certified by a solicitor or bank plus an original copy of a utility bill showing your current address)
- We may withhold such personal data to the extent permitted by law
- You may instruct us not to process your personal data for marketing purposes by email at any time. In practice, you will usually either expressly agree in advance to our use of your personal data for marketing purposes, or we will provide you with an opportunity to opt-out of the use of your personal data for marketing purposes
- You may instruct us to remove personal data under your rights of the General Data Protection Regulation. Any removal will be limited to regulatory compliance and what is permitted by law
